Clinical academic careers GDPR privacy statement

We are the Clinical Academic Career team (CACT) at University Hospitals Birmingham NHS Foundation Trust (UHB). We support nurses, midwifes, allied health professionals, pharmacists, psychologists and healthcare scientists to develop their clinical academic careers, both locally at UHB and also regionally through leading and co-ordinating the West Midlands Health Education England-funded research bridging programmes.

CACT collects the following data:

• Your name
• Your profession
• Your place of work
• Your email address
• Your telephone number
• Your work bank details (if you are receiving payment for services)

You directly provide CACT with the data we collect when you:

• complete an application for any of the competitive bids (e.g. the West Midlands Internship Programme, West Midlands Pre/Post-doctoral Programme, Writing grant, Scriptoria writing course)
• complete an expression of interest form on the Trust website
• communicate directly with our team (emails, meetings, phone calls)
• voluntarily complete a feedback form

CACT collects your data in order to:

• verify your identity and qualifications
• provide you with services and advice that you request, for example providing advice on clinical academic careers and funding opportunities
• email you with news about the Birmingham Health Partners Clinical Academic careers activities, according to your communication preferences

We do not sell or broker your data.

CACT securely stores your data in a folder on UHB's internal server, in the United Kingdom. Access to this server is determined by specific user login details and is restricted to members of the CACT team only. This data will not be shared with anyone who is not directly involved with supporting you on your programme.

CACT will keep your data for five years. Once this time period has expired, we will delete your data.

We may also ask you to provide us with sensitive or "special category" personal information, such as your ethnic origin, details of any disabilities you have, your religion or belief and your sexual orientation.

You do not have to provide us with this information. However, if you do choose to do so, we will use it to ensure that services are delivered in an equitable and non-discriminatory way. We will also anonymise sensitive or "special category" personal information in order to gather statistics and assess the demographics of our membership.

CACT will keep your personal information safe and secure. Only administrative and academic staff engaged in providing clinical academic career support will have access to the data. The team will not disclose your personal information unless compelled to, in order to meet legal obligations, regulations or valid governmental requests. 

We may keep copies or recordings of any correspondence you have with us, including emails, telephone calls, consultations, CCTV and voice recordings. This may be used for quality and training purposes, and to prevent criminal behaviour.

At any point while CACT is in possession of, or processing, your personal data, all data subjects have the following rights:

• Right of access – you have the right to request a copy of the information that we hold about you
• Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete
• Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records
• Right to restriction of processing – where certain conditions apply you have a right to restrict the processing
• Right of portability – you have the right to have the data we hold about you transferred to another organisation
• Right to object – you have the right to object to certain types of processing, such as direct marketing
• Right to object to automated processing, including profiling – you also have the right not to be subject to the legal effects of automated processing or profiling
